Media Advisory The Extraordinary OIC Summit on Palestine and Al Quds Al Sharif, Jakarta, March 6-7, 2016

I. Introduction


The Government of the Republic of Indonesia will be hosting the 5th Extraordinary

Organization of Islamic Cooperation (OIC) Summit on Palestine and Al-Quds Al-Sharif

in Jakarta on 7 March 2016, in response to the request of H.E. Mahmoud Abbas,

President of the State of Palestine.

The Summit will be preceded by Senior Officials’ and Ministerial Preparatory Meetings

on 6 March 2016.

Convened under the theme “United for a Just Solution”, the Summit is a response to

the urgent and persistent worrying situation in Palestine and Al-Quds Al-Sharif, which

affects not only the Palestinian people, but also the world’s Islamic Ummah.

The Summit will explore breakthrough approaches and strategy to counter the

continuous illegal occupation and apartheid policies by the Israeli government, as well

as to advance the peace process and to resolve the situation in Al-Quds Al-Sharif.

The Summit is expected to come forward with a Resolution, which will reaffirm the

principled positions of the OIC Member States on the issues of Palestine and Al-Quds

Al-Sharif, and a Jakarta Declaration, which will present commitments of the Leaders of

the OIC Member States to pursue concrete steps in support of Palestine and Al-Quds

Al-Sharif.


II. Accreditation/Registration


A. Key Dates for Media Accreditation

- 15 February 2016 : Online media registration opens

- 1 March 2016 : Media registration closed, at 23.59 Local Time

(GMT+7/Mecca Time+3)

- 5 - 7 March 2016 : Issuance of media ID card


B. Registration Process:


1. All media representatives covering the Meetings must register online. On-site

registration will not be available. Kindly complete registration form and other

requirements at http://oic-es2016.id/?p=media. Media registration will be

opened from 15 February 2016 to 1 March 2016.

2. Fill in the Media Registration Form and attach soft copies of the following

documents:

a. Letter of assignment from the editor/executive of the media (file type: PDF)

b. A form of identification – KTP for locals or passport for non Indonesian

citizens – that is valid for at least six months (file type: PDF)

c. A recent digital passport-sized photograph (file type: jpg/png/bmp, with

maximum size of 200 kb)

3. For successful media accreditation, an e-mail notification will be sent to confirm

your accreditation together with a unique ID number.



PLEASE NOTE THAT INCOMPLETE AND LATE REGISTRATIONS WILL

NOT BE PROCESSED.


III. Visa Requirement (Foreign Journalists)


Registered foreign journalists (who are not based in Indonesia) are required to have a

valid visa. Print and bring along the copy of the confirmation letter, passport and recent

photograph to the nearest Indonesian Embassy/Mission to apply for a journalist visa.

The application will be processed in accordance with applicable regulations, please

note that confirmation letter does NOT guarantee issuance of visa.


IV. Customs Clearance Requirement


List of equipments that will be brought by applicants must be legalized by the nearest

Indonesian Embassy/Representative office for importation and exportation purposes. It

is advisable to obtain CPD and ATA Carnet to expedite customs clearance.


V. Issuance of Accreditation Pass (ID)


Registered foreign journalists will be issued accreditation to access the media center

and press events during the meetings. Members of the press must personally obtain

their badges by showing their media ID, valid international passport and official

statement from their chief editors. Media badge pick-up will be located at the Media

Accreditation Centre at:

ID must be worn and made visible at all times in the venue of the meetings.


VI. Media Pool

In the event the space availability does not permit; a media pool may be applied. In this

regard, special media passes will be issued and must be worn at all times together with

ID badges. Others may observe or follow the events at the media center where CCTV

is provided.


VII. Media Center


The Media Center will be located at Exhibition Hall A, Jakarta Convention Center

(JCC) and will be fully operational on the 6 to 7 March 2016.

The Media Secretariat at the Media Center will arrange Press Conference and Press

Interviews on a case-by-case basis.

The Media Center will provide computers with internet access.


VIII. Accommodation and Travel Arrangements


Media representatives will be responsible for their own travel arrangements,

reservation and payments of hotel/accommodation. The media are strongly urged to

make reservation as early as possible.

Media who wish to use vehicles (rented/personal) to enter the surrounding area of the

meeting venue is required an access pass. Therefore, Media should inform the

Organizing Committee in advance. For security reasons, a copy of the Certificate of

Registration of the operational vehicles should be submitted to the Organizing

Committee no later than 1 March 2016 by sending media car passes application form

to email media@oic-es2016.id and also to transportation@oic-es2016.id.

Access pass will be duly issued and must be displayed on the windscreen of the

vehicles at all times. Only cars with access pass will be allowed to enter the designated

area.

These passes can be collected at the Registration Center from 5 – 7 March 2016.

Each media is allocated with 1 (one) non-transferable access passes
